Patriot Connect: Recruitment and Admissions is Live for Wave 1.5 Users

Dear Colleagues,

We are thrilled to announce that Patriot Connect: Recruitment and Admissions is live for Wave 1.5 users! Starting today, events management, case management, and Vonage CTI (telephone connection to Patriot Connect for select units) capabilities are available in Patriot Connect to engage with and support current and prospective George Mason students.

Wave 1.5 users, please review the action items below to get started in Patriot Connect today. Users for all other waves, this message is for your awareness only.

  • Access Your New Workspace: Log into Patriot Connect and update your contact information (use this job aid for guidance).
  • Update Your Email Signature: Download these templates to add a link to the student support request form in your email signature, making it easy for prospective and current students to submit a support case.
  • Review Training Materials: Log into MasonLEAPS to access self-guided training materials and join the Patriot Connect Training Community on MS Teams to be notified of upcoming live, instructor-led training sessions.
  • Get Priority Technical Support: Dedicated live, Patriot Connect technical support is available Monday to Friday, 9 a.m. to 5 p.m. EDT now until Friday, June 12.
    • After June 12, technical support will transition to the George Mason Salesforce Center of Excellence (COE) with a focus on addressing defects, enhancements, and ongoing platform stabilization.
  • Stop Work on Cases in TargetX: Beginning today (June 5), all case work must be managed in Patriot Connect. After 5 p.m. today, all cases in TargetX will be closed (see guidance below).

TargetX Transition Guidance – Event Management

Beginning today, all new events must be created and managed in Patriot Connect Summit Events. All pre-existing events must be completed in TargetX by August 19. This means you will temporarily need to work in both TargetX and Patriot Connect as your events in TargetX wrap-up.

TargetX Transition Guidance – Case Management

Beginning today, all case work must be managed in Patriot Connect. When managing cases in Patriot Connect, staff are encouraged to review the full email history, check TargetX for additional comment history, and manually copy over key details if needed. After 5 p.m. today, all cases in TargetX will be closed. On June 7, a final data migration will move TargetX cases closed since June 1 into Patriot Connect. On Monday, June 8, the migrated cases will be available in Patriot Connect in the status they were in prior to the transition (new, escalated, student responded, etc.). If a case requires attention before Monday morning, you must manually recreate the case in Patriot Connect. This may result in duplicate cases—which is expected, and questions can be directed to your Patriot Connect Product Owners. This job aid has been created to help you with the transition.

As of June 4, Outlook rules for email-to-case inboxes have been updated to automatically forward messages from TargetX to the appropriate Patriot Connect email address. This will ensure that all incoming emails—including responses to older TargetX threads—will route to Patriot Connect. Replies to Patriot Connect cases will update those records, while replies from threads that originated in TargetX will create new cases in Patriot Connect. To ensure emails between students and the case continue routing correctly, staff working on cases that originated in TargetX should start a new email from within Patriot Connect to generate a new thread, as continuing to reply to older threads may create duplicate cases. Please remember that during this transition period, you may need to refer to the TargetX systems to get information before replying to cases in Patriot Connect.
