Patriot Connect Summary of System Updates May 11 to June 15

Dear Patriot Connect Users, 

Since the official launch of Patriot Connect: Recruitment and Admissions on May 1, the Patriot Connect team has worked to provide support, fix reported system issues, and address enhancement requests to improve Patriot Connect. These items were tracked and reviewed for prioritization each week, resulting in six weekly batches of system updates.

11-MayPatriot Connect: CCB Service appointment functionalitiesThe Related List Quick Links section on the Student Contact Record/Person Account has been reorganized for better usability. This will enable staff to more easily see and access the most frequently used links.
11-MayModify All Application Setup Permission SetStaff with the Application Setup Permission Set can delete records they do not own.
11-MayInternational Evaluation PicklistApplicants can now see the correct options to choose from in order to answer the question, “Please indicate below how you will be obtaining your evaluation:” on the application.

18-MayRequest to add/enable Comments section within Person Education RecordStaff will be able to use a Comment field that is now available on the Person Education record and editable within Application Review so that they can capture and view notes (e.g., international credential equivalency details) consistently at the source record and ensure that information is reflected accurately wherever it is displayed.

18-MayPortal user sign up should not allow non-English or numeral charactersWhen signing up for Patriot Connect, applicants will be prevented from using non-English characters in their name so that the sign up does not hit an error.
18-MayCheck for existing file before attaching from applicationFor applicants, the resubmission process will recognize when a prior submission attempt already created a Person Education record and uploaded/attached a file, and they will not need to save/attach the same file again. This will enable applicants to successfully resubmit their application after a save error without being blocked by a duplicate file/attachment error.
18-MayPost Submission Error – Missing Content Document IDs Causing Error on SubmissionApplicants can successfully complete and submit their application even when content document IDs are missing or previously created records exist without encountering errors that block submission.
18-MayAbility to edit Decision Letter Viewed OnStaff with the Application Processor permission set will have edit access to the “Decision Letter Viewed On” field on the Individual Application so that they can update and manage the visibility of when a decision letter has been viewed without requiring additional permissions or workarounds.
18-MayMy Open Reviews list viewStaff can see the “My Open Reviews (Home)” list view displayed on the Home page list view instead of “My Reviews” so that they can easily see only their active review items and focus on pending work more efficiently.
18-MayUpdate the “Student Responded” Status for MSSC support cases to be “Contact Responded”Staff who use case management can see the “Contact Responded” status for MSSC support cases instead of the “Student Responded” status so that the status terminology is accurate and aligns with the correct entity involved in the case.
18-MayHigh School CompletersThe text color has been updated to black on the High School Completers section of the application so that the content is consistent and visually appealing.
18-MayAdd additional fields to “My Reviews” listview on Application Reviews objectStaff can now see Applicant Name and Program in the “My Reviews” list view so that they can view and access more relevant information directly within the list view without needing to open individual records.
18-MayAdding the answer of the “What MSW program are you applying for?” on the Academic Plan under the Application Information section.Staff can see the answer to the “What MSW program are you applying for?” question displayed in the Academic Plan under the Application Information section so that they can easily view and reference the applicant’s selected program without needing to navigate to other sections of the application.
18-MayAccess to Risepoint fieldsApplication Processors and System Admins will have the ability to set an Override Shared with Risepoint so that they can change the “Shared with Risepoint” field on an application and the automation will not override their selection.
18-MayDA decision fieldStaff can see a copy of the Deny/Admit/Recommend field on the Decision tab of the individual application so that they can easily view and reference the applicant’s decision status without needing to navigate to other sections.
18-MayMason Korea Geography and Nationality CardFor Mason Korea Applicants, the visa question (“Which type of VISA do you expect to hold while at George Mason?”) will be hidden for all Mason Korea applications when a student indicates they are not a U.S. citizen and do not reside in the U.S. so that applicants are only presented with relevant questions and are not prompted to provide unnecessary or inapplicable information.
18-MayChanging decision (in deposit site) does not update application stageFor Staff, the application status will automatically update to “Application Decision” when the decision code changes to IE, AR, or CH so that the application status accurately reflects the decision stage without requiring manual updates.
18-MayBanner ResD Date and automationFor staff, the “Banner ResD Date” field has been added and automated as part of the Banner integration process so that residency-related data is accurately captured, consistently updated, and available without requiring manual entry or intervention.
26-MayNew Migration Sources field on ContactStaff can rely on source information being correctly captured and aligned between Contact and Opportunity records for migrated data.
26-MayKOR ReviewersStaff can process graduate Mason Korea applications correctly, as these applicants are excluded from the Korea special-population review rules and routed through the proper review path.
26-MayFocus indicator is missingApplicants will have a visible focus indicator on the application when it is initially opened so that they can clearly identify their current position in the interface and navigate the modal effectively, including for accessibility needs.
26-MayTypo in Dietary Restrictions field for Summit EventsSummit Events registration users can see the “Dietary Restrictions” field correctly spelled on the registration form so that they understand what information to provide.
26-MayEvent Management/Summit Event and related object validationStaff can rely on the closed-event notice to display accurate capacity details that match the Summit Events Instance.
26-MayEvent Management/Summit Event and related object validationStaff can add registrations to an event only while registration is open. When registration is closed, staff will see a clear notice explaining this, with the option to continue or cancel. The closed date in the notice will match the date shown on the event.
26-MayAdditional Case Category/Reason valuesStaff have more Type, Category, and Reason options when managing cases, including new “Document Submission” and “Tech Support” categories.
26-MayPerson Education is only “Is US true” if united states for country.Person Education records are marked as US only when the country is US or United States. Records with no country listed are treated as international by default.
26-MayUI/UX changes to GPA headerApplicants will see a helpful tip above the GPA field on the application, explaining how to enter the GPA in the correct format (for example, 3.50) on a 4.0 scale.
26-MayAdd Deny Admit/Recommend field to clone screen flowStaff can see the Deny Admit/Recommend field, if it has been filled in, when cloning an application. This read-only field helps staff choose the correct learning program during cloning.
26-MayRemove Attachments from Tasks related list and add Files insteadStaff can attach files to a Task through the Files section, making it easier to share a file with another user.
26-MayAdd Status to completed checklist itemsApplication Processors can now see a Status column in the Completed Application Checklist Items list so that they can tell at a glance which checklist items were completed versus waived.
26-MayUpdate Application Review Status for Data Migrated Grad App ReviewsApplication Reviewers can see accurate review statuses on migrated graduate application reviews so that the review statuses accurately reflect the current state and support proper decision-making.
26-MayRequest to Remove “AACRAO” an option for Intl Credit Evaluation fieldApplicants will not see the “AACRAO” option in the International Credit Evaluation field on the application, as it has been removed. The field now reflects only current credential evaluation providers.
1-JunPrior Application ReviewsApplication Reviewers can now see prior application reviews while completing a review.
1-JunAdd conditional visibility to question on Profile omni scriptGraduate applicants will not be asked for their most recent enrollment year at George Mason University on the Profile section.
1-JunAdd fields to ART and Individual Application page layoutApplication Processors can see the Academic Standards fields in the Application Review tool so that they can see what the applicant completed in the Academic Standards section of the application.

1-JunChecklist Waiver Request EmailChecklist Waiver Request Approvers will receive an email when assigned a waiver request and again after it is approved or rejected. The email includes key details and a direct link to the request.
1-JunIndividual Application: Admit Honors-Field not visible in SFMC SyncSystem Administrators now have visibility to the Admit Honors field on the Individual Application, so that it can synchronize successfully to Marketing Cloud. This keeps applicant data complete and consistent for communications sent through Marketing Cloud.
1-JunAdd a new “Orientation Attended Override” checkbox field and edit the formula on UG orientationStaff can now check a new “Orientation Attended Override” box on the application to mark orientation as attended for students who attended only one orientation with permission.
1-JunMilitary Case field dependenciesMilitary Case users can now use Type, Category, and Reason field dependencies that are specific to military cases, so that they can organize cases more appropriately.
1-JunCreate Task when Banner Last Sync Status is Decision AR UpdateA task is now automatically created and routed to the appropriate queue when an application’s “Banner Last Sync” status changes to “Decision AR Update,” prompting staff to update the decision code.
1-JunIncoming Email Message Should Update Case Status if Case is Not NewStaff with the Case Contributor permission set can now see when a contact replies to an email from a case, as the reply attaches to the case automatically and the case status updates to “Contact Responded” if the case is not at “New.”
8-JunAdd new fields to Individual ApplicationStaff reviewing or managing an Individual Application can now capture and view detailed scholarship information, including academic unit awards, merit and non-merit totals, and Mason-specific scholarships, in the Scholarship section of the Decision tab.
8-JunApplications: Accurately identify when an app and related records (migrated or not) need to syncWhen staff edit a record that syncs with Banner, such as applications and application decisions, a field will automatically track it so those records are updated in Banner during the next scheduled sync.

8-JunAdding a new Person Examination from Person AccountStaff can now add a new Person Examination from a Person Account with the Contact automatically filled in, so they no longer have to manually re-enter or search for the Contact.
8-JunIn State Tuition Application – Residential History – Both Student Part A & Parent Part BStaff can expect the In-State Tuition Application to correctly require two years of address history in both the Student Part A and Parent Part B sections, prompting for additional previous addresses when needed. The Parent Part B section is no longer required for students under 24 when both parents are deceased and there is no legal guardian.
8-JunMSW Decision letterMSW Admit Decision Letters will include the specific pathway program track the student has been admitted to so that applicants receive complete and accurate information about their admitted program.
8-JunAdd the Review and Submit button to the bottom of the ApplicationApplicants can now see and select a larger Review and Submit button at the bottom of the application, so they no longer have to scroll back to the top to submit their application.
8-JunData Migration Missing Data or incorrect fields in Patriot ConnectProject team members supporting Hypercare 5 data migration can now use a centralized workbook to track the individual data migration items provided by Business SMEs. This ensures all items, such as missing or incorrect fields identified in Patriot Connect, are captured, monitored, and completed accurately during the Hypercare phase.
8-JunAdjust “New Registration: Button behaviorStaff can now see the New Registration button on event instances whenever a registration link is available, including for Orientation events, so that they can register students for events.
8-JunChecklist Waiver List view update requestStaff can now view and manage waiver records more easily with an updated Checklist Waiver list view that presents key details in a clearer format.
8-JunAdd the Mogli phone number and opt out fields to the person Account layout in the Recruitment and Admissions AppStaff users in the Recruitment and Admissions app can now see the Mogli phone number and opt-out fields on the Applicant Profile, providing convenient access to texting contact details and opt-out preferences.
8-JunCreate UG Central Queue and relabel GR Central QueueTasks for undergraduate and graduate applications are now routed to separate queues. A new UG Central Queue handles undergraduate application tasks, and the existing central queue has been relabeled GR Central Queue for graduate application tasks, so tasks are assigned to the correct team.
8-JunMigration: Headless case and summit event registration clean-upMigrated cases and Summit Event registrations that were missing a linked contact are now matched to the correct contact based on email, so records are complete and connected to the right person.
8-JunUpdate the missing PIDM for Person Accounts in Patriot ConnectData migration team members will be able to update missing PIDM values for migrated Person Account records in Patriot Connect. Since the PIDM is needed for most integrations, this one-time update ensures all records are accurately linked between Patriot Connect and Banner and maintains data integrity across systems.

15-JunKOR language change to academic plan omnisctipMason Korea applicants will now see Academic Plan language and instructions specific to their campus, including the correct Mason Korea portfolio and audition details, so the application reflects accurate Mason Korea information.
15-JunUpdate ORN Population formulaThe ORN Population formula now correctly categorizes domestic transfer applicants, so all student populations are classified accurately.
15-JunApplications: Accurately identify when app records need to sync – AutomationsWhen a user edits a record that syncs with Banner, such as an application or application decision, the edit is now automatically tracked so the record is updated in Banner during the next scheduled sync, keeping data accurate between the two systems.
15-JunRepost application decision when there is a post failureEnrollment Management staff can now resend an application decision to Banner when the original post fails, using a new “Repost to Banner” checkbox on the Individual Application. Failed posts are also logged and emailed to the team, making them easier to find and fix.
15-JunUpdate “BaseStaffRecruitmentCustomObject” permission set to grant read and edit access to the following fieldsStaff in the Recruitment and Admissions area now have read and edit access to additional Task and Contact fields, including comment, type, and citizenship details, giving them the access they need for their work.
15-JunSet Decision Date Sub Flow for Individual Application needs to be correctedThe flow that sets the decision release date on the Individual Application now uses the correct credential evaluation service, so the decision release date is set correctly.
15-JunUpdate Mason to George MasonApplicants will now see “George Mason” instead of “Mason” throughout the application, making the naming consistent and aligned with the university’s branding. (The Mason 3+2 Program name is intentionally unchanged.)
15-JunUG TU GAA QuestionApplicants applying under the Guaranteed Admission Agreement (GAA) at Northern Virginia Community College will now see all transfer detail questions, even if they have not yet earned a degree.
15-JunMissing Fee waiver fields- TransferTransfer applicants will now see a new question asking whether they receive a Pell Grant or VASA award. Selecting either option automatically waives their application fee.
15-JunHow to Change/Remove Application Payment StatusApplication processors can now use a new “Reset Payment” button on the Individual Application to undo a fee waiver applied in error, moving the application back to “Not Submitted” so the applicant is required to pay the fee.
15-JunNursing Card Needs corrected line spacing and “I Acknowledge” movedTransfer applicants will now see the same nursing application as freshman applicants, including the nursing short essays, with improved spacing on the Nursing card for easier reading.
15-JunBug Template Phone Number on ApplicationApplicants entering a U.S. or Canada mobile number on the application profile will now use a formatted phone field instead of free text, helping ensure the number is entered correctly and reducing errors at submission. The new mobile phone number is also saved to the applicant’s record and displayed on generated PDFs when provided.
15-JunSpace Correction CVPA Academic PLANSpacing on the CVPA Academic Plan section has been corrected for easier reading, with a line break added between the acknowledgment statement and the text that follows.
15-JunSpace Correction Geography and NationalityThe spacing in the Geography and Nationality section has been corrected, adding space after the citizenship status and race questions.
15-JunINEV checklist should not be added to NDU applications or KORThe International Enrollment Verification (INEV) checklist item is no longer added to regular non-degree, dual enrollment, or Mason Korea undergraduate applications where it does not apply, so applicants only see relevant checklist items.
15-JunADVANCE MVP Incorrect Attribute appliedADVANCE applicants from Brightpoint Community College are now categorized correctly with the appropriate attribute, so they are identified accurately.
15-JunAdd AR-BA-AVT to Selective Major Change field on ScorecardApplication reviewers can now choose Art and Visual Technology – B.A. (AR-BA-AVT) as a Selective Major Change on the Scorecard for transfer applicants who do not qualify for the B.F.A., updating their learning program when the review is saved.
15-JunScreen Reader Compatibility with Summit Events Calendar The Summit Events Calendar now works correctly with screen readers and other assistive technologies, making it more accessible for users who rely on them.
